Privacy Policy

Towpath Labs, LLC ("we", "us", "our") operates ActVio.ai. This policy explains how we collect, use, and protect your information when you use our service.

1. Information We Collect

Account information: When you sign in via Google or Microsoft OAuth, we receive your name, email address, and profile picture from your identity provider. If you sign in with a magic link, we collect your email address.

Meeting transcripts: You provide meeting transcripts by pasting text or forwarding emails to your unique inbound address. We store these transcripts to process them and generate structured notes.

AI-generated content: We store the structured notes, action items, and summaries our AI produces from your transcripts.

Usage data: We collect standard server logs (IP address, browser type, pages visited) to maintain and improve the service.

2. How We Use Your Information

  • Process meeting transcripts using AI to generate structured notes and action items
  • Provide, maintain, and improve the service
  • Send you service-related communications (e.g., daily briefing emails, if enabled)
  • Authenticate your identity and secure your account

3. Third-Party Services

We use the following third-party services to operate ActVio.ai:

  • Anthropic (Claude AI): Your transcript text is sent to Anthropic's API for processing. Anthropic's API does not use your data to train models. See Anthropic's privacy policy.
  • Supabase: Hosts our database and handles authentication. Your data is stored in Supabase-managed PostgreSQL databases.
  • Vercel: Hosts the application and serves web pages.
  • Postmark: Processes inbound emails forwarded to your unique address. See Postmark's privacy policy.
  • Google & Microsoft: Provide OAuth authentication. We only receive basic profile information (name, email, avatar).

4. Data Storage & Security

Your data is stored in a Supabase-hosted PostgreSQL database with row-level security (RLS) enabled, meaning each user can only access their own data. All data is transmitted over HTTPS. We do not sell your data to third parties.

5. Data Retention

We retain your data for as long as your account is active. Tracking action items have a 14-day expiration window after which they are archived. You can delete your meetings and action items at any time from within the app.

6. Your Rights

Depending on your location, you may have the following rights:

  • Access & portability: Request a copy of your data.
  • Deletion: Request deletion of your account and associated data.
  • Correction: Request correction of inaccurate data.
  • Opt-out: Opt out of non-essential communications.

GDPR (EU/EEA): We process your data based on your consent (account creation) and our legitimate interest in providing the service. You may withdraw consent or exercise your rights by contacting us.

CCPA (California): We do not sell your personal information. You have the right to know what data we collect, request deletion, and not be discriminated against for exercising your rights.

7. Cookies

We use essential cookies for authentication and session management. We do not use third-party advertising or tracking cookies.

8. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by posting the updated policy on this page with a new effective date.
